Position Summary: The Yeshiva University High School for Boys (MSTA) is seeking an Executive Assistant who will have responsibility for a wide range of administrative and executive support related tasks while working independently with little or no supervision. The Executive Assistant independently manages and oversees the activities of the office for the Head of School and Executive Director.
This position will liaise with various internal departments and may be required to have frequent external contact
May be required to coordinate work assignments and assess the work of assigned staff.
Serve as the primary point of initial contact on any matter.
Independently researches and prioritizes incoming issues and determines appropriate course of action, referral and/or response.
Receive, screen, evaluate and determine appropriate response to all written correspondence received by the office
Independently formulate and disseminate written responses as appropriate.
Ensure that the school leadership receives the administrative support required to meet their commitments and responsibilities.
Maintain calendars, make travel arrangements, and update pending commitments and appointments.
Assist supervisor(s) with administrative requirements
Manage special projects/programs, some of which may have University-wide impact
Maintain office correspondence and reply to inquiries. Response must be made in a timely manner, and urgent matters must be brought to the attention of senior management
Confirm that the appropriate resources are available Coordinate and/or assist in establishing or recommending budget allocations for the office and review revised and final budgets
Oversee the planning and coordination of key special events
May negotiate and administer contracts and/or agreements
Coordinate and manage the transportation logistics in conjunction with the bus company provider
Compile and submit list of facility work orders for submission and follow up with University Facilities department.
Assist in Onboarding of new hires as well as student interns
Available for all ad hoc requests including but not limited to: processing reimbursements and assisting the main office
Experience & Educational Background:
Bachelors Degree and 3-5 years of administrative experience. Equivalent combination of experience, training and/or education will be considered
Skills & Competencies:
Must possess strong knowledge of Microsoft Word, Excel and PowerPoint. May use other Microsoft programs as assigned
Must demonstrate good judgment, initiative and attention to detail
Must be able to effectively track time and resources to prioritize own work assignments
Must possess strong customer service, communication and organizational skills
May be required to work independently and produce quality work from conception to completion on assigned projects
