Advertised Summary Job Description: Reporting to the Director of the Irving Institute for Cancer Dynamics (IICD), the Chief of Staff oversees, advises, directs a variety of strategic administrative, operational, and confidential matters, and manages process and follow-up on all items of importance to the Director. The incumbent will manage projects and support development, communications and faculty recruitment for the IICD, on all three campuses: CUIMC, Morningside and Manhattanville. The Chief of Staff is a senior member of the Director's office staff and, with the Director, provides leadership and direction to the IICD.
1.Provides operational leadership for the seamless functioning and running of the Director's office. Coordinates and oversees all functions for the office of the Director, ensuring efficiency and effectiveness, and optimizing use of available resources. Ensures timely completion of ongoing projects, organizes all administrative tasks for the Director.
2.Manages Institute staff ensuring they meet their objectives and produce high quality and timely work.
3.Responsible for the overall financial management and administrative operations. Contributes to development of the strategic and tactical plans, linked to the financial plan, for the continued growth and evolution of the Institute.
4.Directs the daily financial and administrative operations. Oversees the approval process for all financial transactions, reviews expenditures and requests for exceptions, oversees reconciliation and maintenance of financial records. Works closely with appropriate staff to forecast budget for each fiscal year and ensures that spending is within budget.
5.Actively supports the Director's agendas by serving as a sounding board on all projects and programs.
6.Facilitates resolution of matters requiring the Director's attention. Assists in drafting sensitive and/or high-level correspondence.
7.Works directly with the leadership of CUIMC and the University-wide Public Affairs Office to develop and implement the IICD communications strategy.
8.Works directly with the leadership of CUIMC and the University-wide Development Office to increase philanthropic efforts for research initiatives. Advises and assists in preparation for IICD meetings.
9.In consultation with the Director, manages recruitment planning, coordinating and aligning efforts with the Office of the EVP for Research, Medical Center and Medical School leadership, and New York-Presbyterian Hospital leadership as appropriate.
10.Provides strategic oversight for the IICD website, including ongoing content development; and the maintenance of contact lists related to the initiative and other digital media communications.
11.Anticipates and identifies issues for discussion at key management meetings, identifies appropriate meeting participants, works with appropriate departments to prepare and/or manage the preparation of reports, briefings, presentations and responses on institutional and strategic issues, as necessary. Coordinates communication between the Director, internal stakeholders, and other senior officers of the University on all three campuses.
12.Develops and carries out new initiatives that the Director of the Institute deems necessary for promoting research activities. Convenes, supports, and manages action items for new groups the Director tasks with new initiatives. Prepares and reviews materials and drafts, edits and finalizes reports as necessary.
13.Oversees and directs a broad range of high-level projects, ensuring timely execution and high quality.
14.Additional responsibilities as assigned.
General Minimum Qualifications: Bachelor's degree required. Minimum eight years of related experience.
Additional Specific Minimum Qualifications: This position requires an in-depth understanding of the scientific, academic, and administrative needs of the organization as well as strong background in administration. Exceptional analytical, research and organizational skills with meticulous attention to detail required. Excellent interpersonal, oral, and written communication skills necessary, with the ability to give clear and concise presentations of complex and/or scientific material. Demonstrated ability to problem-solve and operate within a large, dynamic environment, with experience in senior level management. Demonstrated ability to forge partnerships. Must be able to function independently and exercise discretion and judgment in sensitive and potentially controversial matters. Broad computer skills required, including word-processing, budgetary and web tools, and data management and analysis.
Preferred Qualifications: An advanced degree in mathematics, statistics, or bio-sciences is preferred. Experience with academic research is preferred. Experience in a matrix environment is preferred.
