Position Overview: This position works within the Plant Sciences/BBE Division in the College of Food, Agricultural and Natural Resource Sciences (CFANS) Office of Finance and Budget in support of assigned academic, administrative, and programmatic units reporting to the Finance Professional 3 Supervisor. This position is an integral part of the Plant Sciences finance team specializing in both HRMS and accounting services, and interacts closely with other team members, departmental administrators, faculty, staff, and students. This position is expected to continue professional development through attendance of courses, workshops, seminars, and other meetings, and demonstrate ethical behavior in the conduct of all position responsibilities.
This is a part time 75% position (30 hours/week)
Major Areas of Accountability: (The areas of responsibility listed do not include all possible tasks in this work and do not limit the assignment of related tasks in any position of this class.)
Accounting Services 45% --Prepares and processes cash and check deposits for assigned units. --Process purchasing card expenditures for assigned units. --Serve as backup in processing of requisitions and U market purchases for the division. --Serve as backup voucher specialist for assigned units. --Develop an expert knowledge of University and Federal regulations, policies, and procedures related to and impacting sponsored and non-sponsored accounts in order to ensure the timeliness and accuracy of accounting information entered into Peoplesoft. --Develops process efficiencies to streamline workload while maintaining best practice standards, sharing these concepts with team members and members of other CFANS divisions.
Payroll Management 45% --Prepare payroll hire documents and appointment entry in HRMS of undergrad student and temp/casual employees for units within the division while working with faculty and staff regarding policies and procedures pertaining to appointment entry. --Monitor hourly timesheets to ensure accuracy and data integrity. --Audits payroll abstracts and works with department administrators and central payroll office to make payroll adjustments or corrections. --Prepares distribution changes and retro salary adjustments in HRMS. --Prepares journal entries to establish non-sponsored combocodes. --Monitors Workstudy awards ensuring funds are spent accurately and within award timeframe. --Develop, through training and experience, an expert knowledge of University policies and procedures related to and impacting appointments and other personnel processes for all employee groups; keeping abreast of changing HR, Benefits, and Payroll policies and procedures. Utilize this knowledge to enter HR and Payroll data into PeopleSoft ensuring data integrity and compliance.
Customer Service/Administration 10% --Respond to inquiries from members of assigned units and interpret college policy and procedures. --Work within the team to provide information and coaching to ensure consistent process and communications. -- Continue professional development through attendance of courses, workshops, seminars, and other meetings. --Provide back up for team members as needed or in the event of turnover. --Special projects as assigned.
Required Qualifications: --High school diploma/GED and two years of general accounts transaction experience. Training/education may be substituted for up to one year of experience. --Experience using MS Excel, Word, Internet Explorer. --Experience with spreadsheet development.
