This Development and Alumni Relations (DAR) position plays a key role by assisting in the planning, promotion, and coordination of high-profile events and meetings related to alumni and donor engagement. The annual program of events includes the HGSE signature lecture series (The Askwith Forums), dean's office and development and alumni committee meetings, governance meetings, and a wide range of events from large to small. These meetings and events strategically showcase and position HGSE to attract support for the mission and vision of the Ed School's leadership. The events coordinator reports to the associate director of engagement and events.
General responsibilities include, but are not limited to:
Provide day-to-day administrative and logistical support for multiple concurrent events and programs, interacting regularly with DAR colleagues, HGSE dean's office, faculty, staff, and invited speakers.
Prepare event materials such as event guides, speaker releases, nametags, tent cards, briefing materials, dinner seating charts, etc. with an attention to detail and accuracy.
Create and ensure quality control of event communication, including invitations, reminders, confirmations, and emails.
Askwith specific responsibilities:
Participate as a contributing and strategic member of Askwith Forum Planning Committee that will plan and execute 14 – 20 Forums a year.
Conduct basic research on speakers and program topics as directed.
Initiate and coordinate outreach efforts to ensure visibility, grow, and maintain strong attendance.
Develop and maintain all communication vehicles related to Askwith Forums including email accounts, weekly calendars, e-mail notifications, and social media platforms.
On-site set up and audience management for Askwith Forums lectures. Typical hours 5:30 – 7 p.m. Mon - Thurs. as scheduled during the academic year. Metrics and financial responsibilities:
Track event attendance and work closely with DAR IT team to ensure information is captured in Advance, the University-wide database.
Manage timely processing of invoices, event expenses, and reporting.
Collect and process speaker expense reimbursement.
Assist with budget compliance for all events expenses.

Minimum of four years of relevant experience is required.
Previous experience in the coordination/management of events.
Ability to work evenings and occasional early mornings

Experience with InDesign and design software preferred.
Experience with Qualtrics or other survey software preferred.
Experience and/or familiarity with room reservation software, web page maintenance, database use, and social media outreach preferred.
