The University of Minnesota Morris Alumni Association strives to develop connections among alumni and students and to strengthen their commitment to the campus. This position will provide support to the Alumni Engagement Office to help ensure the smooth and effective operation of this program. This 75% time, 12 month position reports to the Director of Alumni Engagement.
Primary Responsibilities – General office support for Advancement Office - 80%
Assist with Advancement (Alumni Relations and Development) event planning including Homecoming, WCSA Reunion, St. Paul Saints, Midwinter, Jazz Fest and other events
Research and select venues for alumni and donor engagement events
Answer phone/communicate with alumni and friends regarding questions, concerns
Monitor and coordinate Alumni Relations email account, under direction of Director of Alumni Engagement
Read through Stevens County Times and clip articles pertaining to UMM and WCSA alums
Secure signed contracts for events
Track rsvp's, prepare name tags and compile reports and event sheets, and maintain event book
Attend UMMAA board meetings - take notes, type and distribute as directed
Assist with UMM Distinguished Alumni Award program. Order plaque, arrange accommodations for recipient, update Distinguished Alumni Award book
Order plaque for UMMAA Distinguished Teaching Award, update UMMAA Teaching Award book
Organize and shepherd communications efforts including work orders for post card announcements of events
Complete web requests for Alumni Relations and UMMAA web pages, on-line rsvp forms, calendar items
Provide external communication information including E-express, weekly bulletin and emails, etc., under direction of Director of Alumni Engagement
Order promotional items
Additional Responsibilities - 20%
Facilitate Advancement student tasks and provide training as needed
Communicate with University of Minnesota colleagues to request Audience View Alumni Relations payment options and release of funds.
Open and distribute mail
Photocopying and filing as assigned
Additional duties as assigned by the Advancement office
The University of Minnesota Morris Office of Advancement seeks a Principal Office and Administrative Specialist. This position is 12 month, 30 hours per week/75% time, Monday - Friday and reports to the Director of Alumni Engagement. This position is represented by a Bargaining Unit: AFSCME Clerical. The qualifications are as follows:
High School diploma/GED and two (2) years of related office and administrative experience. Training/education may be substituted for some of the years of experience.
Excellent computer skills (Word Processing, Spread Sheet and Database, Google platform experience necessary).
Excellent interpersonal skills to communicate professionally and effectively with donors, prospective donors, alumni, volunteers, campus colleagues and vendors.
Excellent written and verbal communication skills, including a high degree of comfort on the telephone.
Must have a high regard for detail.
Trustworthy with confidential information.
Will demonstrate appreciation of cultural diversity and the ability to work effectively with people from a wide variety of backgrounds, cultures, and experience.
Website experience helpful.
Must be able to work independently, and as a member of a team.
