Job Description Summary
The Executive Assistant will provide executive support to the Assistant Dean for Intramural and Extramural Affairs, the Associate Dean of Global Affairs, the Director of Faculty Affairs and Executive Support and leaders within the Dean's Executive Suite.
Reporting directly to the Director of Faculty Affairs and Executive Support, this position will carry out high-level day-to-day clerical duties for multiple C-level executives. This individual will provide administrative/office management support for the Office of Intramural and Extramural Affairs/Office of Global Affairs and the Deanâ™s executive suite. This includes travel, calendar scheduling and managing various clerical duties. Project coordination, execution, follow-through and extensive event planning expertise is required.Â The Executive Assistant must have a proven ability to work collaboratively and professionally with all levels of Penn Dental Medicine, which includes students, staff, visitors, faculty, alumni as well as members of the Board of Overseers, outside clients, vendors and international visitors. The Executive Assistant must be able to handle confidential information with a high degree of professional discretion.
This position will assist in MOU preparation and coordination with Penn Global and MOU partner institution and will maintain the Schoolâ™s database of agreements.
This position requires clear communication, flexibility & adaptability when working with various administrative tasks, projects, events, etc.Â Coordinate office administrative responsibilities by efficiently managing resources, demonstrating consistent service orientation, initiative, clear communication & adaptability with office admin. activities with senior leadership team members. Coordinate conferences, events, & programs international & domestic.
This position will also plan, organize and manage high visibility events around the world that support the fundraising and engagement goals at the School globally, locally and virtually. Administer the International Student Exchange program at the School. This position will work closely with institutional advancement staff, high-level alumni and senior school leadership through the planning stages of all events. Responsible for problem solving and implementing solutions during all planning and execution stages.
This position requires flexibility in working across different time zones for events and supporting various projects and programs across the School that may require work time and preparation time outside of standard business hours to support the needs of the global community and intramural and extramural events.
The Executive Assistant position requires a strong work ethic, professionalism, and commitment to integrity. A high degree of initiative is required, as is a proactive approach that anticipates the needs of C-level executives. The Executive Assistant must exhibit sensitivity to the position as a role model for Penn Dental Medicine and a representative of the University of Pennsylvania's mission, values and goals.
