Provide coordination for the University of Minnesota College in the Schools (CIS) program; includes operations management, planning and documentation; supervision, mentoring and coordinating professional development and college visits. Implement best practices including quality control procedures. Negotiates contracts on behalf of the Registrar and the University of Minnesota Duluth. Builds strong relationships and delivers ongoing communication, and flow of student and course records with partner school district and UMD. Manage CIS records responsibilities for over 12 UMD and 60 high school College in the Schools faculty. Draft the annual CIS budget, manage revenue and expenses, and approve expenditures. Deliver College in the Schools services, manage data processes which update and audit academic records, and coordinate with Registrar services to achieve service excellence. Support data driven decisions, contribute to data tracking, Support academic record and information compliance with technology protocols, FERPA regulations, the Higher Education Opportunity Act, ever-changing federal and state regulations and University policy and practices. Participate in effective communication with all stakeholders using various technologies. Assist in the coordination and testing of systems enhancements for College in the Schools services. Provide design specifications and documentation for improved business processes and reporting. Facilitate and support UMD academic stakeholders, students, faculty, and staff in the College in the Schools program.
Support College in the Schools program academic records, operations, and services in accordance to the same standard of all University of Minnesota Duluth academic records.
Provide daily support of complex student information systems supporting instructional and academic records of College in the Schools Programs.
Coordinate and collaborate with the UMD academic community and High School partners or potential partners on policy, business practices, information systems and operations; provide training and information.
Recommend and support Office of the Registrar departmental goals, objectives, policy, and best practices that align with the University’s mission and strategic enrollment management goals
Assist in the supervision of staff and student employees who support College in the Schools UMD programs and services.
Assist in the coordination of data access and security for the student information system for the UMD campus in the area of College in the Schools UMD faculty liaisons, and High School leadership, faculty, and staff.
Collaborate with faculty, staff and administration to ensure compliance with institutional, professional and legal standards and regulations related to academic records
(25%) Collaborate with the Assistant Registrar on all records processes including those associated with document imaging, forms design, internal audits, and ordering oversight. Manage the timely and accurate preparation of information for various standard operational timelines, calendars, reports and areas of mandatory compliance. Coordinate all activities to maintain UMD’s accreditation with the National Alliance of Concurrent Enrollment Partnerships (NACEP).
(25%) Assist in the CIS human resource and/or financial records responsibilities for over 12 UMD and 60 high school College in the Schools faculty. Coordinate the academic qualifications review and renewal process for all academic positions associated with the College in the Schools program. Propose the annual CIS budget and track expenditures. Manage the verification, expense submission and reconciliation of departmental revenue.
(25%) Assist in the management of new, changing or retired services implementation, which may include collaboration with campus and university system wide services. Coordinate daily operational support and troubleshooting of complex and interconnected student information systems. Participate in the planning and coordination required to involve and successfully support the broader academic community with academic policy, business practices and student information systems. Support and provide team leadership, manage communication, direct activities, conduct analysis and effectively transfer knowledge to others. Contribute to change management, develop business processes, workflows, and test plans. Write effective documentation and training materials and coordinate and/or deliver ongoing training.
(15%) Recommend short and long-term goals for the department; participate in the establishment of departmental objectives and policy; and assist in preparation of the department budget. Supervise activities which support strategic enrollment management goals. Utilize best practices in all areas including change management for efficiency and effective service excellence. Maintain a broad understanding of the interrelated business processes. Perform on-going analysis and evaluation, establish performance benchmarks, develop and/or enhance initiatives that align with departmental goals. Maintain knowledge of and remain in compliance with federal, state, local regulations and professional standards.

Effectively collaborate to manage operations, solve problems, enforce policy and effectively communicate. Perform various personnel actions including hiring, performance evaluations, development, promotion, transfer, dismissal and salary recommendations.

A record of four years relevant experience in academic records, policies and procedures
Demonstrated experience to apply administrative policies, conduct analysis, recommend and resolve problems and prepare reports
Demonstrated experience in an environment of required collaboration and teamwork
Demonstrated experience to use complex technologies for information management and decision making

Strong written communication skills
Demonstrated ability to use counseling techniques to support learning environments and provide academic record services

Experience in supporting communication campaigns through social media, websites, email and other forms of print and electronic communication.
