This position provides the first point of contact for the Office of the President so that telephones are answered, appropriate referrals of telephone calls are made, and visitors are greeted upon arrival. This position provides support for the Office of the President staff as needed.
JOB DUTIES: Front Desk (50%): - Open the office daily by 8:00 a.m. - Answer all calls to the main office number; refer calls to appropriate staff or office - Greet visitors and inform appropriate staff of their arrival - Maintain office cleanliness and oversee the condition of the conference rooms - Work with Facilities Management on office and conference room repairs - Keep the President’s Executive Assistant aware of upcoming appointments and the arrival of visitors - Handle encounters with upset callers or visitors constructively - Log all complaints and suggestions - Open, sort, prioritize, and distribute incoming mail
Office Support (50%): - Perform the final proofreading for the President's outgoing condolence letters - Process or oversee processing of outgoing mail by student workers - Maintain Office of the President's files and assist with annual archiving tasks - Sort and circulate correspondence around the office before filing - Type correspondence from drafts, copies, and meeting/project support as needed - Order flowers as requested - Monitor office supply inventory and order supplies - Other office support duties as needed - Maintain office safety and security procedures - Supervise student employees

This is a 100%, full-time position with benefits.
REQUIRED QUALIFICATIONS: - High School Diploma/GED and three years of related office and administrative experience. One (1) year of education/training beyond high school can be substituted for experience. - Demonstrated strong computer skills and experience with Microsoft programs - Experience writing and editing correspondence - Excellent organizational skills - Experience managing confidential information - Experience creating and maintaining a filing system - Demonstrated ability to work in a diverse environment - Demonstrated ability to remain calm under pressure
