The Center for Executive and Continuing Professional Education (ECPE) provides executive education and continuing education courses that encourage leadership development and provide the knowledge and skills that students need to improve organizational performance. Our portfolio of executive education programs and continuing education courses cover topics including leadership, management, research improvement and innovation, public health education, environmental health and safety, nutrition, health policy, and organizational strategy.
We are currently seeking a Senior Manager for Business Operations who will provide business leadership to ECPE and oversee the day to function of this central administration unit. ECPE prides itself on the collaborative nature of its staff and dedication to its customers, so poise, operating well under pressure, and acting with integrity at all times is a must. The candidate must also have strong technical and time management skills, is organized, is a confident decision-maker and self-starter who can work autonomously when needed, can generate their own work as well as intelligently delegate, and has excellent people management and communications skills.
The Senior Manager will oversee a 7 person unit and lead the administration, finance, and technology of ECPE as a successful business enterprise, while providing counsel, business advice, and strategy development to ECPE and School leadership.
Duties and responsibilities include, but are not limited to, the following:
Business Operations and Administration:
Ensures integration of standard operating procedures, administration, operations, technology and data reporting used in the development, delivery and analysis of open enrollment and custom programs and overall ECPE business conditions, and ensures efficient and compliant business operations. This includes:
1. Business Practices:
Oversees planning, pricing assessment, business terms, and deal evaluation
Analyzes and manages reputational and financial risk to University and HSPH
Has input into various issues and requests associated with the complex hybrid 'Principles and Practice of Clinical Research' program
Oversees unit staff with customer-facing responsibilities
2. Reporting and Data Management:
Ensures quality and completeness of all data relating to ECPE performance including demographic, operational, and financial
Working with the Executive Director and Senior Marketing Manager, leads development of the ECPE Biennial Report, including reviewing and assembling performance data including learner demographics and program performance, analyzes trends, and develops report drafts for Executive Director and Director of ECPE
Oversees improvements in ECPE's CRM system (Salesforce) to support efficient marketing, production, and analytic capability, institutes quality control measures to ensure database quality
Designs consistent and predictable data reports on key business metrics; leads annual business reviews of all open enrollment programs
3. Best Practices and Process Improvements:
Working with senior manager team, develops best practices and process improvement initiatives to develop streamlined, efficient, transparent and user/customer friendly standard operating procedures for program development and delivery, operations management, and new business development
Oversees new University and School administrative roll-outs such as Concur, B2P, HART, Fieldglass, etc.
Ensures that ECPE interface with all University and School administrative systems are functional and compliant
4. Contract and Vendor Management:
Ensures custom education program projects and proposals, including scoping and business terms, align with revenue goals and University guidelines
Collaborates with other HSPH departments and offices as needed to provide administrative support for custom training as part of research or other restricted grants that involve ECPE
Leads liaison with Harvard University's Office of General Counsel on contract and risk management issues
Oversees vendor performance against contractual obligations; leads vendor negotiations when needed, including hotel contracting and negotiating liability issues
5. Centralized Production and Space Planning:
Oversees standard operating procedures to provide centralized production support for programming, marketing, and project management
Oversees purchasing and inventory for all administrative functions, including technology
Oversees development and implementation of efficient, cost effective standard operating procedures for all department operational support
Implements cost-effective inventory management and ordering protocols for all units
Oversees space utilization, planning and reservations for all HSPH staffing, classroom, and other facilities used by the department

PLEASE NOTE: The primary work location for this position is Boston, Massachusetts. Until our return to campus, which is still to-be-determined, this interview process and position will be conducted virtually – including virtual interviews, remote onboarding, and remote work. The remote nature of this position is only temporary. Local, on-campus work will be required once the School and this role return to an operational status that supports it.
Duties and Responsibilities Continued:
Ensures that all financial activities are accurate and transparent and in accordance with HSPH and University principles and procedures. Achieves a high level of customer service by overseeing professional, timely and accurate financial management support. Contributes to ECPE decision-making with sound financial analysis and strategic advice. This includes:
Annual budget process - oversees process for developing the annual budget and long-term plan for the department in accordance with HSPH guidelines and deadlines
Develops quarterly business P&L forecasts
Collaborates with Executive Director and Director to develop presentations to HSPH leadership on ECPE business outlook and strategies
Oversees strategic analysis to support ECPE management decision making
Oversees ad hoc departmental financial reports at the direction of the ECPE Executive Director
Leads annual Revenue Share Allocation process and communications with HSPH leadership, departments, and centers in collaboration with the ECPE Executive Director and Director
Develops presentations to HSPH leadership on ECPE business strategy
Oversees centralized faculty payment processes, liaising with HSPH Faculty Affairs, Human Resources, and other Harvard University offices as needed. Reviews ECPE faculty compensation guidelines and policies for equity, accuracy and administrative issues
Ensures full integration and compliance of technology and data reporting used in the development, delivery, and analysis of department activities. This includes:
Oversees technology team, prioritizing technology projects, balancing workload, and supporting team development and performance
Oversees development and maintenance of website, E-Commerce site and customized Salesforce CRM system
Oversees development and implementation of technology related priorities
Responsible for performance management, mentorship, and coaching for excellence of a seven member finance, technology, and operations staff
Oversees collaboration with other ECPE units to identify workload peak periods, plan for temp and work study staff
Oversees ECPE human-resource related matters; ensures maintenance of department organization charts, records, etc.
Serves as a collaborative member of the senior management team for the department
Proactively identifies development opportunities for direct reports and training opportunities for department staff
Regularly contributes to department and School-wide initiatives focused on process improvements
Models collaborative, cooperative, integrated, supportive and communication professionalism to direct reports and all department staff
The Senior Manager for Business Operations also takes on additional responsibilities as needed at the direction of the Executive Director of ECPE.

Bachelor's Degree or equivalent experience required
7+ years of related experience required
Supervisory experience required
Master's Degree/MBA preferred
Experience working in executive education preferred
Experience overseeing and managing teams and departments preferred
Knowledge of GAAP and IFRS accounting, financial analysis, business systems, operations and controls, and audit interface preferred
Experience with the Microsoft Office Suite, Databases, Salesforce, and Project Management software preferred
Experience with Zoom or other video conferencing software, familiarity with Harvard's Financial Systems, (HCOM, Concur, Wasabi, etc.), and experience with Ed Ex are strong plusses but not requirements
