Department: Law Information Systems Salary/Grade: NEX/11
This position will be part of a customer service unit within the Facilities and IT organizations at Northwestern Pritzker School of Law. Specific tasks may include (but are not limited to) budget reconciliation, processing orders and payments, researching and resolving discrepancies as well as ad hoc projects; creating and maintaining documents, reports and spreadsheets, meeting/schedule support, providing excellent customer service, general office management and website maintenance.
Ideal candidates must demonstrate adaptability and flexibility to perform effectively in an environment in which parameters change frequently. Excellence in customer service, verbal and written communication, initiative and attention to detail are essential. The person in this role must maintain close working relations with all departments within the Law School, the financial department at NU, as well as our vendor community.

Budget & Financial
Creates and maintains financial records.
Processes and reconciles expenses, accounting transfers and/or appropriate changes.
Ensures prompt payments of invoices, researching errors/delated transactions.
Monitors open encumbrances and deficit chart strings.
Holds purchasing card; maintains and reconciles charges on departmental credit cards.
Updates financial transaction spreadsheets and databases.
Generates summary reports and statistics.
Researches information to resolve problems or issues.
Provides basic interpretation of policies and procedures.
Communicates important information with managers and provides coordination, as needed.
Provides excellent customer service, over the phone, by email, MS Teams and in person answering standard questions regarding status of requests, policies and procedures for processing transactions, and/or instructions for completing paperwork. This includes monitoring the email in boxes, answering the main phone number, monitoring the voicemail, monitoring chat queues, sorting and distributing mail received, and interacting with walk in customers.
Utilizes customer service software tool to create tickets, close out completed tickets, assign tickets to other staff, and maintain list of FAQ’s.
Instructs and advises the law school community regarding options and appropriate courses of action and follow up inquiries to ensure customer satisfaction.
Communication and Outreach
Assists with producing, editing and distribution of newsletter.
Assists with updates of websites.
Plans and manages numerous events throughout the year, assuring all logistics are completed.
Drafts and distributes departmental communications after receiving appropriate approvals.
Performs other duties as assigned.
High School diploma or equivalent.
3 years accounting and/or bookkeeping experience.
Minimum Competencies: (Skills, knowledge, and abilities.)
Excellent computer skills including proficiency in the use of spreadsheet, database, and word processing software.
Familiarity with financial reporting.
Bachelor’s Degree in Accounting, Business Administration, Finance, or related field. OR 2 years financial administration work experience, OR appropriate combination of education and experience.
Demonstrated interest and ability to provide strong customer service.
Preferred Competencies: (Skills, knowledge, and abilities)
Advanced Excel and database skills.
Ability and flexibility to learn new tools to improve departmental workflow and improve reporting. (Ex. Tableau).
